Design and publish a workflow

Workflows are changed as a draft, so the live workflow is never half-edited. Nothing changes for anyone until the draft is published.

Edit the draft

  1. Open the feature's Workflow page (for example Assessment → Workflow). It shows the version that's live now.

  2. Choose Edit (start a draft).

  3. Make your changes on the canvas (see below).

  4. Save the draft as you go. Discard draft throws it away and leaves the live workflow as it was.

On the canvas:

  • double-click the background to add a state;

  • drag from a dot on a state to another state to add a move (a transition);

  • click a state or a move to change its name, colour and settings in the panel beside it;

  • in the roles panel, add workflow roles, give them the moves they may make, and say what each may do in each state;

  • Delete removes what you've selected (you'll be asked first);

  • drag the background to pan, and use the mouse wheel to zoom.

As you edit, the issues list checks the design (for example, an end state that doesn't say what finishing means). Saving and publishing run the same checks.

Publish

  1. Choose Check & publish.

  2. Read the change summary: who can now do what, states added or removed, important settings changed.

  3. Confirm. The new version is live.

When you can publish

To keep work safe, a new version can only be published when everything in progress is in the start state. If work is further along, Conform tells you where ("12 assessments are in Fieldwork and Review"), and you publish once those have moved on or finished. Finished work keeps pointing at the version it used.

Until a feature's workflow has been published for the first time, nothing can be started in that feature. A "workflow not published" notice shows on Home and the feature's screens.
