How workflows work

States

A state is a stage, such as To do, In progress, Review or Completed. Each is a column on the board.

  • The start state is where new work goes.

  • End states finish the work. Each end state says what finishing means: for an assessment, complete (off to the Forward-Log) or return to the Back-Log.

Transitions

A transition is an allowed move from one state to another, such as Send for review. If there's no transition between two states, you can't move work between them. A transition can require a rationale.

Workflow roles

A workflow role, such as Assessor, Reviewer or Approver, says which transitions someone can make. People are given workflow roles separately from their tenancy roles. See Workflow roles.

What each role can do at each stage

Beyond moves, a workflow can say what each role can do while work is in each state: for assessments, adding notes, managing or confirming controls, and overriding scores; for tests, answering checks and completing the test. These only ever narrow what someone's tenancy role allows. See What you can do at each stage.

Each feature's workflow page (for example Assessment → Workflow) shows the live workflow read-only to anyone who can view workflows; drag the background to pan, and use the wheel to zoom.

Templates

Each feature starts from a template, from simple to detailed. For testing, the simpler templates have no review stage and the more detailed ones add one.
